ACADIME — Privacy Policy

1. Who we are

ACADIME ("ACADIME", "we", "us", or "our") is a study-management application that helps students track courses, grades, schedules, flashcards, and study activity, and connect with friends. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices and rights you have. For the purposes of applicable privacy laws, ACADIME is the organization responsible for personal information collected through the app. Our infrastructure provider processes data on our behalf (see Section 6). 2. Scope

This Policy applies to personal information we collect through the ACADIME web application and related services. It does not apply to third-party websites or services we do not control, including your school’s own systems.

3. Information we collect

Information you provide: your email address, name, a unique username (@handle), password (never stored in readable form), and optional profile details such as your school/institution and profile photo. Content you create or upload: courses, professors, grades, schedule and calendar items, semesters, projects, flashcards and decks, study sessions, streaks, and files you upload (such as syllabi, notes, or PDFs, including any personal information they contain). Social data: friend connections, friend requests, and leaderboard activity. AI assistant data: the messages you send to DIME and the conversations you save. Information collected automatically: usage and analytics data, and technical/log data such as browser and device information.

4. How we use your information

To provide and maintain the app and your account; to authenticate you and send account emails such as email-verification codes and password-reset links; to generate AI features you request (such as flashcard generation and personalized DIME answers, see Section 5); to enable social features you choose to use; to understand and improve the app; to communicate with you; and to comply with legal obligations. In Canada we rely on your consent along with other bases permitted by PIPEDA and British Columbia’s PIPA. Where the EU/UK GDPR applies, we rely on your consent, our legitimate interests in operating and improving the app, and performance of our agreement with you. You may withdraw consent at any time, though some features may not work without the related information.

5. AI features and third-party AI processing

ACADIME includes AI features, most notably DIME (the in-app assistant) and AI flashcard generation. When you use these, the content needed to fulfil your request is sent to a large-language-model provider to generate a response; for DIME’s personalized answers this can include a focused summary of your own academic data and, when relevant, content from course materials you have uploaded. DIME is designed to only ever access your own data, enforced on the server side. The AI providers that process this content are OpenAI and Anthropic, engaged through our infrastructure provider; they process the content to return a response and do not use it to train their models. AI outputs may be inaccurate and should not be relied on as academic, professional, medical, legal, or financial advice.

6. How we share your information

We do not sell your personal information. Service providers: our application platform is Base44 (a Wix company), which uses sub-processors including MongoDB (database), Render and Google Cloud (infrastructure), Supabase (media/file hosting), SendGrid (email), DataDog (logging), and OpenAI and Anthropic (AI processing); these providers may only process data to provide services to us. Other users: if you add friends or appear on a friends leaderboard, certain profile information (such as your username, display name, institution, and leaderboard-relevant activity) is visible to users you connect with; your grades, uploaded files, schedule details, and DIME conversations are private to you. Legal and safety: we may disclose information if required by law or to protect the rights, safety, and security of our users, the public, or ACADIME. Business transfers: information may be transferred as part of a merger, acquisition, or sale of assets, subject to this Policy.

7. Where your data is stored and international transfers

ACADIME’s platform and its providers currently store and process data on servers located in the United States. If you access ACADIME from Canada, the EU/UK, or elsewhere, your personal information will be transferred to and processed in the United States and other countries whose data-protection laws may differ from those where you live. Where required, we rely on appropriate safeguards for these transfers.

8. Data retention

We keep personal information for as long as your account is active or as needed to provide the service, and afterward only as long as necessary for the purposes described here, to comply with legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we delete or de-identify your personal information within a reasonable period, except where retention is required by law.

9. Your choices and rights

Depending on where you live, you may have the right to access, correct, or delete your personal information, withdraw consent, and request a portable copy of certain information. You can update much of your profile in the app. For any other request, email acadime.app@gmail.com. If you are in Canada and are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

10. Security

We take reasonable measures to protect your information. Passwords are stored using secure one-way hashing and are never accessible to us in readable form. Access to your records is restricted by per-user data-access rules so that one user cannot read another user’s private data. ACADIME keeps your authentication session using your browser’s local storage; signing out or clearing your browser data on a shared computer helps protect your account. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Cookies and local storage

ACADIME uses your browser’s local storage to keep you signed in and to remember preferences such as your theme and font. We and our providers may also use limited analytics and logging technologies. You can clear local storage in your browser settings, but doing so will sign you out and reset saved preferences.

12. Children and minors

ACADIME is intended for users 13 years of age and older. We do not knowingly collect personal information from children under 13, and will delete it if we learn we have. If you are under the age of majority where you live (for example, under 19 in British Columbia), you may use ACADIME only with the consent and involvement of a parent or legal guardian. Parents or guardians can contact acadime.app@gmail.com to review or delete a child’s information.

13. Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will update the "Last updated" date and, where appropriate, notify you in the app or by email. Your continued use of ACADIME after an update means you accept the revised Policy.
